Event Specialist/Administrative Assistant (full-time)

Responsibilities

  • Plan, design and produce events
  • Manage weddings and the details associated with events
  • Manage rental business for buildings and grounds
  • Liaise with clients to identify their needs and to ensure customer satisfaction
  • Provide feedback and reports for board meetings and other meetings
  • Propose ideas to improve services and event quality
  • Work with volunteers to organize fundraising events
  • Ensure compliance with insurance, legal, health and safety obligations
  • Schedule staff and volunteers and coordinate their activities to support events
  • Proactively handle any arising issues and troubleshoot any emerging problems
  • Conduct pre- and post – event evaluations and report on outcomes
  • Research and identify new event and program opportunities
  • Work directly with the Executive Director assisting with daily operations
  • Produce the Arboretum’s newsletter and e-newsletter
  • Produce flyers and brochures
  • Manage special event and marketing interns
  • Responsible for Arboretum’s marketing effort (social media, media releases, etc.)

Education and Experiences

  • BS in Event Management or related field
  • Proven event management experience
  • Excellent time management and communication skills
  • Sales skills and ability to build productive business relationships
  • Ability to manage multiple projects independently
  • MS Office, PowerPoint, Adobe, and Excel proficiency

Requirements

  • Full-time position – 40 hours per week (Must be willing to work non-traditional business hours including evenings, weekends and holidays.)
  • Evening and weekend hours for events and weddings
  • Must have an Iowa Driver’s License

Education Coordinator (part time)

Plan, manage and evaluate educational programs that meet the mission of the Iowa Arboretum. Responsibilities include scheduling, contacting program facilitators and preparation & oversight of programs.  The coordinator will work with school & camp groups providing educational programs.

Education and Experience

  • BS in Education or related field
  • Proven education management experience
  • Excellent time management and communication skills
  • MS Office, PowerPoint and Excel proficiency
